3.1 Dealing with Incoming Mail

POLICY

This procedure is to ensure that all incoming mail is correctly and promptly dealt with and that confidentiality is not compromised.

All incoming mail should be sorted into three sections.

  1. Mail addressed to private individuals i.e. personal mail, should be put into their pigeonholes or forwarded on to them.
  2. Any mail marked PRIVATE, CONFIDENTIAL, PERSONAL or similar, should be given to the named recipient UNOPENED but the envelope should be stamped with the date the letter was received.

    If that person is known to be away for any length of time, the item should be passed to that person’s Manager or person nominated to deal with post in their absence.
  3. The Receptionist should open ALL OTHER MAIL, whether addressed to a specific individual or the company, which is not marked as private or confidential.

    All items must be stamped with the date.

    Any sensitive items should be put into a sealed envelope and given to the appropriate person.

    The post for each individual/department should then be delivered or put into their mailbox for collection.

All information contained in the incoming mail must be treated as confidential.
